At HyperHelp, we value clarity and privacy. We build AI website chat that helps your visitors find answers in your own content. We do not build shared contact databases, sell customer data, or use your private business content to benefit other customers.
This Privacy Policy explains how HyperHelp collects, uses, shares, and protects information when you visit our website, create an account, use the HyperHelp dashboard, embed the HyperHelp widget, crawl content, manage conversations, capture leads, or contact us.
1. Our Roles and Data Scope
HyperHelp handles different categories of data in different roles.
Account, billing, website, and platform operations data: HyperHelp acts as a controller for information needed to operate our business, manage accounts, process subscriptions, secure the service, respond to support requests, and understand aggregate product usage.
Customer content, crawled pages, Q&A entries, widget conversations, and leads: HyperHelp acts as a processor or service provider when we process this information on behalf of a customer. This data belongs to the customer workspace that submitted or collected it. We use it to provide the HyperHelp service and do not share it with other customers.
Website visitor data collected through a customer widget: The HyperHelp customer that embeds the widget controls how the widget is used on their site, what lead fields are requested, and what content is connected to the chatbot. HyperHelp processes that data for the customer so the widget can answer questions, store conversations, and capture leads when enabled.
2. Information We Collect
A. Information You Provide
Account information: Name, email address, password authentication data, verification status, profile settings, and login/security settings.
Organization and team information: Organization name, team membership, invitations, roles, plan status, and related workspace settings.
Billing information: Subscription status, plan, billing cycle, invoice history, billing address, tax information, payment status, and payment-provider identifiers. HyperHelp does not store full credit card numbers or sensitive payment credentials on our servers.
Support and communication data: Messages you send to us, support requests, billing questions, demo requests, and related contact details.
B. Customer Content and Chatbot Data
Crawled website content: When you configure a crawl, HyperHelp fetches the pages and URLs you provide or allow through your crawl rules. We store extracted content, metadata, chunks, and embeddings so your chatbot can retrieve relevant source material.
Curated Q&A entries: Questions, answers, and optional context that you add manually to improve chatbot responses.
Chatbot configuration: Chatbot names, widget keys, allowed domains, appearance settings, prompt instructions, source visibility, lead-capture configuration, crawl rules, and usage settings.
Conversations and messages: Internal test chats and public widget conversations, including visitor questions, chatbot answers, sources used, timestamps, and related conversation metadata.
Lead capture data: If lead capture is enabled, HyperHelp stores the fields configured by the customer, such as name, email, company, or custom fields submitted by a visitor. Leads are stored with the related conversation context.
C. Information Collected Automatically
Log and security data: IP address, user agent, timestamps, requested URLs, endpoints, status codes, error data, rate-limit events, and authentication/security events. We use this information to operate, debug, secure, and protect the service.
Usage and analytics data: Product events such as signup completion, chatbot creation, checkout intent, and plan purchase attribution. HyperHelp is designed to keep analytics payloads small and avoid sending names, emails, prompts, messages, or other user-generated content to analytics tools.
Cookies and similar technologies: We use cookies and local storage where needed for authentication, sessions, preferences, security, analytics, and product functionality.
D. Information From Third Parties
Billing provider data: Freemius may send checkout, subscription, license, payment, invoice, refund, billing address, tax, and account status data needed to manage subscriptions.
AI providers: HyperHelp uses AI providers to generate answers, summaries, and embeddings. The exact provider may vary by configuration, with OpenAI used as the default provider in the current product configuration and other providers available as fallbacks or alternatives.
Analytics provider data: HyperHelp uses Umami for production analytics when analytics is configured. Analytics is used to understand aggregate product usage and attribution.
Authentication, email, hosting, database, search, queue, and storage providers: We may receive operational data from the service providers that help us host, secure, send email for, monitor, search, and operate HyperHelp.
3. How We Use Information
We use information to:
- provide the HyperHelp dashboard, hosted application, documentation, APIs, crawling pipeline, retrieval system, and embeddable chat widget;
- create and manage accounts, organizations, team access, authentication, and security settings;
- crawl configured websites, extract content, create chunks and embeddings, index content, and answer questions from customer-controlled sources;
- store and display widget conversations, leads, Q&A entries, data sources, crawl runs, usage, and exports;
- process subscriptions, invoices, renewals, cancellations, plan limits, taxes, failed payments, and billing support;
- send service emails, account verification emails, team invitations, notifications, and support replies;
- detect, prevent, and respond to abuse, spam, credential stuffing, rate-limit abuse, security incidents, and service misuse;
- debug errors, measure reliability, monitor performance, and improve the product;
- comply with legal obligations and enforce our terms and policies.
We do not sell your account data, customer content, conversations, or leads. We also do not use one customer's private workspace data to train, enrich, or improve another customer's chatbot.
4. AI Processing
HyperHelp is an AI product, so some customer-controlled data may be sent to AI providers when needed to provide the service.
For chat responses, HyperHelp may send the visitor's question, relevant retrieved source snippets, chatbot instructions, and recent conversation context to an AI provider so the provider can generate an answer. For embeddings, HyperHelp may send text chunks from crawled content or Q&A entries to an embedding provider so the content can be searched semantically.
We do not intentionally send passwords, payment credentials, secret tokens, or unrelated account security data to AI providers. Customers should avoid adding sensitive secrets or regulated personal data to crawled content, Q&A entries, chatbot instructions, or lead-capture fields unless they have confirmed that their use case is appropriate.
5. Data Sharing and Service Providers
We share data only as needed to operate HyperHelp, comply with the law, protect the service, or follow your instructions.
Infrastructure and hosting providers: Used for application hosting, databases, storage, queues, networking, backups, and security.
AI providers: Used for chat responses, embeddings, and related AI features.
Billing provider: Freemius is used for checkout, customer portal, subscriptions, invoices, billing details, and payment-related events.
Analytics provider: Umami is used for production analytics when configured.
Email and notification providers: Used to send verification emails, invitations, account notices, notifications, and support messages.
Search and retrieval infrastructure: Used to index and retrieve customer-controlled content for chatbot answers and dashboard search.
Legal, compliance, and safety: We may disclose information if required by law, legal process, or a valid government request, or when necessary to protect rights, safety, security, and service integrity.
Business transfers: If HyperHelp is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.
No shared data network: HyperHelp does not access your CRM, email inbox, or calendar to harvest contacts for a shared database. Your customer content, conversations, leads, and workspace data remain tied to your workspace and are not sold to other customers.
6. Cookies
We and our service providers may use cookies and similar technologies for essential website functionality, security, performance monitoring, analytics, and user experience purposes.
Where required by law, we will request your consent before using non-essential cookies or similar technologies.
Most browsers allow you to refuse or delete cookies, although doing so may affect some features of the Services.
7. Data Retention and Deletion
We retain information for as long as needed to provide HyperHelp, comply with legal obligations, resolve disputes, enforce agreements, secure the service, and maintain business records.
Account and organization data: Kept while your account or organization is active, then retained as needed for legal, security, billing, backup, and audit purposes.
Customer content and chatbot data: Crawled content, Q&A entries, documents, chunks, embeddings, conversations, and leads are retained according to your account status, plan limits, product settings, and deletion actions.
Conversations and leads: Conversation and lead retention follows the current effective plan and product retention rules. If an organization loses paid access, HyperHelp does not immediately delete its data, but cleanup may begin after warning and grace periods described in the product documentation.
Deleted data: Some deletions are soft-deleted first and permanently purged later by scheduled cleanup jobs. Backups and logs may retain copies for a limited period before they expire or are overwritten.
8. Security
We use administrative, technical, and organizational measures designed to protect personal data and customer content. These measures include access controls, tenant scoping, hashed passwords, transport encryption, provider access controls, rate limits, logging, deletion guardrails, and operational monitoring.
No service can guarantee absolute security. You are responsible for keeping your login credentials secure, managing team access carefully, configuring widget allowlists appropriately, and ensuring you have the right to submit or crawl the content you connect to HyperHelp.
9. International Data Transfers
HyperHelp may process and store information in countries other than where you live or where your visitors are located. These countries may have data protection laws that differ from your local laws.
Where required, we rely on appropriate safeguards for international transfers, such as contractual protections with service providers and other legally recognized transfer mechanisms.
10. Your Privacy Rights
Depending on your location, you may have rights to access, correct, delete, export, restrict, object to, or withdraw consent for certain processing of your personal data. You may also have the right to appeal a decision or lodge a complaint with a data protection authority.
Customers can access and manage much of their account, organization, chatbot, conversation, lead, and billing data directly in the HyperHelp dashboard.
To make a privacy request, contact us at support@hyperhelp.ai. We may need to verify your identity and account relationship before acting on a request.
If your information was submitted through a HyperHelp widget on a customer's website, you may need to contact that website owner directly. HyperHelp can assist our customer in responding to valid requests where we act as their processor.
11. Children's Privacy
HyperHelp is intended for business and professional use. It is not directed to children, and we do not knowingly collect personal data from children. If you believe a child has provided personal data to HyperHelp, contact us so we can review and delete it where appropriate.
12. Changes to This Policy
We may update this Privacy Policy as HyperHelp evolves or as legal, operational, or security requirements change. If we make material changes, we will take reasonable steps to notify users, such as updating this page, emailing account owners, or showing an in-app notice.
